1. IntroductionThese Terms and Conditions govern the enrolment and participation in all residential and academic programmes (herein referred to as the "Programme") provided by The Oxford Exchange ("we", "us", or "our"). By submitting an application or paying a deposit, the applicant (and their parent/guardian if under 18) agrees to these terms.
2. Admissions and Enrolment
- Admission to the Programme is subject to availability and the successful review of the applicant’s profile.
- We reserve the right to refuse admission to any applicant at our sole discretion.
- Room allocations within Oxford University colleges are strictly capped. Spaces are secured on a first-come, first-served basis only upon receipt of the required deposit.
3. Payment Terms
- All fees are quoted and payable in British Pounds Sterling (GBP £).
- A non-refundable deposit is required to secure a place on the Programme.
- The remaining balance of the Programme fee must be paid in full by the deadline specified in your invoice or acceptance letter. Failure to pay the balance by the deadline may result in the forfeiture of the student’s place and the loss of the deposit.
4. Cancellations and Refunds
- By the Participant: If a participant withdraws from the Programme, the initial deposit remains non-refundable. Cancellations made within 45 days of the Programme start date are entirely non-refundable, as accommodation and academic fees have already been contracted.
- By The Oxford Exchange: In the unlikely event that we must cancel the Programme, participants will receive a full refund of all fees paid to us. We are not responsible for third-party costs incurred by the participant, such as flights or visa fees.
5. Accommodation and Programme Changes
- Participants will be housed in university college accommodation (e.g., Oriel College). The Oxford Exchange reserves the right to modify the specific college venue, housing arrangements, or timetable of events if required by the host colleges or unforeseen circumstances, ensuring any alternative is of an equivalent standard.
6. Participant Conduct
- All participants are expected to adhere to the highest standards of behaviour, respecting the historic college grounds, faculty, and fellow students.
- We enforce a strict code of conduct. The Oxford Exchange reserves the right to dismiss any participant—without refund—whose behaviour violates UK law, college rules, or disrupts the academic environment. For participants under 18, parents will be responsible for immediate repatriation costs.
7. Liability and Insurance
- Travel Insurance: It is highly recommended (and mandatory for international students under 18) that all participants secure comprehensive travel and medical insurance covering trip cancellation, medical emergencies, and personal property loss.
- The Oxford Exchange and its host colleges are not liable for the loss, theft, or damage of personal property, nor for personal injury occurring during the Programme, except where caused by our gross negligence.
8. Governing LawThese Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising under these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
